e-Transformation Roadmap: The Role of the ERP in e-Invoice, e-Waybill and e-Ledger

The division of work between integrator, financial seal and ERP in e-document practice; controls that reduce invalid-document risk.

In Türkiye, e-transformation means producing, transmitting and storing paper documents electronically with legal validity. e-Invoice, e-Archive invoice, e-Waybill, e-Ledger, e-Self-employment Receipt and e-Producer Receipt are the main applications under this umbrella. Taxpayer status and obligation thresholds change with regulation; follow Revenue Administration announcements for current limits and calendar.

Three actors: GİB, integrator and ERP

You issue the document, but its secure transmission to the GİB system and the counterparty goes through direct integration, a private integrator or the GİB portal. The ERP is responsible for producing the document with correct data and linking incoming documents to business processes.

Errors the ERP can validate

  • Missing tax number, address or taxpayer status on the customer card
  • Wrong VAT rate or exemption code
  • Quantity mismatch between waybill and invoice
  • Missing customs information on an export invoice
  • Duplicate document numbers

Incoming document management

Supplier e-Invoices should be pulled into the ERP automatically, matched with orders and goods receipt (three-way matching) and a draft accounting entry produced. Accept or reject responses must be given within the statutory period.

e-Ledger at period end

The e-Ledger is the electronic signing of the journal and general ledger at period end. Posting entries in balance and in date order during the period makes the ledger easier to upload first time. Period locking and inconsistent-entry warnings in the ERP are critical here.

Retention and audit

e-Documents must be kept accessible and unalterable for the statutory retention periods. An ERP document archive and timestamp are the evidence most requested during audits.

How it works in Düzlem ERP

The Düzlem e-Transformation package prepares, signs and sends documents inside the ERP and pulls incoming ones automatically. Schema updates and regulatory changes arrive automatically under the subscription. During setup our consultant checks your taxpayer status and transition calendar together with you.

Transition checklist

  • Clarify your taxpayer status and transition date with your accountant.
  • Account for the time to obtain a financial seal or e-signature; it can take a few days.
  • Update tax number and e-Invoice mailbox details on all customer cards.
  • Define document numbering series and templates.
  • Send at least ten documents in the test environment and verify the response flow.
  • Define authorised users and approval steps.

Once these steps are complete, go-live is usually done within one working day.
